Job Title: Supply Chain Manager
Introduction
TAU Mining Contractors (Pty) Ltd. currently have the following vacancy available based at the Vedanta Gamsberg project in the Northern Cape:
Duties & Responsibilities
1. Delivery of Supply Chain function on site
- Take charge of the Supply Chain Function on site and oversee all Stores, Logistics and Procurement related activities and responsibilities.
- Assist to review, develop and implement policies, procedures and workflows related to Supply Chain Management.
- Ensure that all internal and external customers are aware of, and adhere to, approved processes and procedures related to the Supply chain function.
- Monitor and ensure that the correct goods are sourced via approved, correct procedures and in adequate quantities as per approved orders and budget.
- Ensure that internal customers are continuously updated around estimated delivery timeframes of goods and ensure that goods arrive on time as per logistic plan.
- Develop interventions and implement plans and alternatives whenever any critical order deliveries are delayed.
- Contribute to the achievement of site production targets by ensuring that necessary and critical items are in stock when required.
2. Budgeting, Stock, and Cost control
- Assist General Manager to develop a project stock budget for approval by applicable Snr. and Executive Management.
- Implement approved site stock budget and monitor budget adherence (cost control) on a cost-to-actual on a daily, weekly, and monthly basis.
- Identify, develop, and implement cost-saving initiatives in conjunction with General Manager.
- Prepare and present monthly reports related to Stock and Stores, as well as Procurement. Manage stock and Stores function in conjunction with the Stores Superintendent:
- ensure that all procedures related to managing stock control and issuing are adhered to.
- Manage stock cycles and administer stock planning.
- Conduct stock takes and manage stock levels (inventory) in accordance with approved budgets and forecasts.
- Conduct audits to ensure that all parts and goods received by stores are correct and matched to order, in good condition and properly accounted for.
- Ensure that all stock and goods received are stored and receipted on the Pragma/SAGE system.
- Coordinate movement and issuing of stock in conjunction with Expeditors and Stores Controllers.
- Identify slow-moving stock and implement action plans to reduce the same.
- Work closely with Stores, Procurement, Finance, and Engineering teams to ensure effective integration of the store’s function to support other functions
- Make sure that stock item limits are up to the set minimum limits.
- Develop and implement adequate risk management measures to minimize potential stock losses as a result of damage and theft.
- Ensure good housekeeping and that all hazardous goods are handled, transported, and stored in accordance with applicable SHE policies and procedures.
3. ERP and Procurement site systems owner
- Take ownership, implement, and administer ERP and Procurement systems (SAGE & Pragma).
- Ensure data integrity and that set procedures and process flows are adhered to by all system users.
- Assist with systems-specific workflow and procedure development and implementation.
- Immediately report any system or software-related malfunctions that may arise and ensure that same is addressed with urgent effect. Escalate via appropriate channels if problems are not timeously resolved.
- Authorization of systems users and ensuring user rights are correctly allocated to end users.
- Ensure that all users are fully competent on SAGE 300 and Pragma systems. Arrange and schedule system training as required, to ensure that all end users remain abreast with program updates.
4. Supplier Relationships and delivery of BBBEE strategy
- Establish and maintain professional relationships with suppliers.
- Draft and advertise Subcontractor and supplier Tenders, in conjunction with relevant Snr. Management.
- Part of adjudication team to source qualifying potential new local suppliers in conjunction with relevant Snr. Management, to align the procurement strategy with the Organizational BBBEE strategy and contractual obligations.
- Track and Monitor expenditure towards BBBEE suppliers, to ensure that required targets are met.
- Implement best practices and procedures to avoid potential inappropriate relationships with Suppliers.
- Liaise with suppliers around warranty and replacement claims to replace damaged or return incorrect stock, in conjunction with the procurement team.
- Identify and propose cost-saving opportunities and initiatives in conjunction with the General Manager.
5. Managerial (HR) Responsibilities
(To be performed in conjunction with the HR Dept)
- Ensure that Department is adequately staffed as per approved site complement, at all times. Liaise with HR Department to have all vacancies timeously filled.
- Set, communicate, and ensure that subordinates have monthly KPIs as applicable and that set KPIs are achieved. Implement remedial action where necessary.
- Act as mentor and advisor to subordinates, identify and motivate relevant training and development initiatives, and perform succession planning.
- Manage time & attendance, sick leave and leave rosters for Dept. Ensure that overtime is planned, properly managed and pre-approved as per overtime procedure.
- Monitor time spent by subordinates on the mine and ensure compliance with legal attendance parameters.
- Manage discipline and initiate disciplinary action in line with applicable disciplinary procedures, where required.
Desired Experience & Qualification
- Must have a Diploma or Degree related to Stores & Procurement/ Warehousing/Logistics and Supply Chain Management or Cost Accounting (Formal qualification compulsory)
- Must have at least 8-10 years’ Supply Chain management experience, of which at least 3 years must be at a similar level role.
- Must have a valid Driver’s license and a clean criminal record.
- Must have excellent knowledge of heavy earthmoving equipment and parts with at least 5 years’ related working experience in an opencast mining environment
- Excellent computer skills and vast knowledge of related software programs (MS Office, Pragma & Sage).
- Numerical solid and accounting aptitude with the ability to generate accurate reports timeously.
- Excellent supervisory/people skills, driven, energetic with a high level of attention to detail and ability to meet deadlines.
- Honest, reliable and willing to work long hours.
- Must be medically fit with sober habits.
- Job ownership and accountability.
- Ability to schedule and prioritize work, multi-tasking ability.
