Job Title: General Administration, Bookkeeping & Accounts

Ruthanne Collection is a young dynamic company offering online sales of printed art and soft furnishings

Catering to national and international markets. We are looking for a candidate who is organized and has a passion for creating and maintaining admin flows that are systematic and allow for smooth growth. The candidate must be able to work collaboratively and enjoy multitasking.

The position is currently a part-time position which has the potential to become a full-time position. The candidate, therefore, has the opportunity to grow along with the upward trajectory of the company and be compensated accordingly.

The successful candidate will be required to work in an office, weekdays from 8h00 to 13h30

Duties & Responsibilities

Accounting

  • Process Invoices, Credit Notes (debtors and creditors)
  • Recon bank statement weekly to payments
  • Set up monthly payments against supplier invoices for Ruth to action.
  • Follow up on outstanding invoices and queries.
  • Record all sales and expenses in Xero.
  • Recon Payfast income statement
  • Maintain Xero cashbook.
  • Record all expenses in Xero.
  • Prepare monthly report on sales vs expenses and
  • Record monthly stock take.
  • compare to the budget forecast.

Administration

  • Process client orders with suppliers
  • Create Purchase orders and arrange deposits where necessary for orders with suppliers.
  • Follow-up orders placed with suppliers.
  • Collect stock and deliverer raw materials to suppliers.
  • Keep a logbook of travel expenses.
  • Pack and despatch client orders.
  • Order courier and print waybills.
  • Complete client orders with follow-up of delivery and client feedback.
  • Track stock shortfall and flag low stock for reordering.
  • Conduct monthly stock count and recon, if necessary, with Shopify and Xero inventory.
  • Monitor and order packaging, and stationary including print cartridges.
  • Check client queries daily via email and website.
  • Check new stock into inventory and check and sign against delivery notes or invoices.

Studio Duties

  • Serve any clients that pop into the studio Tuesday to Friday 9am to 1 pm
  • Conduct stocktake every 6 weeks and reconcile with Xero inventory online.

Desired Experience & Qualification

Understanding and experience in basic accounting & bookkeeping

Working in Xero accounting package a plus.

Self-motivated

Excel, Word, Mailchimp, Tech savvy

Well spoken.  Fluent in English and Afrikaans a plus.

Drivers Licence essential. Own car a plus.
