Job Title: Personal Assistant in the FMCG Industry | Secretarial and Administrative Support

Introduction

We are currently hiring a highly skilled and experienced Personal Assistant to join our team in the FMCG industry. As a Personal Assistant, you will provide comprehensive secretarial and administrative support to our executives at our Midrand offices. Your role will be pivotal in ensuring the smooth functioning of our operations and facilitating the success of our executives in a high-performance and driven environment.

Duties & Responsibilities

RESPONSIBILITIES:

As a Personal Assistant in the FMCG industry, you will have the following key responsibilities:

  • Calendar Management: Efficiently manage executive calendars, organize appointments, and schedule meetings to ensure effective time management and prioritization.
  • Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and visas, to facilitate seamless travel experiences for the executives.
  • Communication and Correspondence: Prepare and distribute presentations, correspondence, and reports on behalf of the executives, ensuring accuracy and professionalism in all communication.
  • Meeting Coordination: Facilitate smooth and productive meetings by coordinating logistics, taking minutes, following up on action items, and maintaining comprehensive meeting records.
  • Query Handling: Promptly and professionally handle telephonic and email queries, providing accurate information and resolving issues in a timely manner.
  • Office Support: Assist with general office duties, such as document translation, proofreading, formatting, and providing support to other team members when needed.

SOFT SKILLS/ADDITIONAL INFO:

In addition to the minimum requirements, the ideal candidate for this Personal Assistant position in the FMCG industry will possess the following soft skills and attributes:

  • Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships both internally and externally.
  • Strong organizational and time management abilities, with a keen attention to detail and the ability to handle multiple tasks simultaneously.
  • Ability to work well under pressure and meet tight deadlines, while maintaining a high level of accuracy and quality in work output.
  • Maintain confidentiality and exercise discretion when handling sensitive information.
  • Proficient in using MS Office applications (Word, PowerPoint, Excel) and adaptable to learning new software and tools.
  • Self-motivated and proactive, with a positive and energetic attitude towards work.
  • Ability to work both independently and collaboratively as part of a team, contributing to a harmonious and productive work environment.

Desired Experience & Qualification

To be considered for this role, candidates should meet the following minimum requirements:

  • Completed 3-year degree in Commerce/Business Administration or a related field (Essential)
  • Relevant Business Admin Courses
  • Five years of experience as a personal assistant and office management for senior management

Package & Remuneration

R32,000 CTC per month
